Quickly Complete Assignments

Patrick Bakker

Few things are as satisfying to a specialist as completing an assignment. Still, the process of completing a request, for example, can entail a number of steps. The specialist places the request in Edit mode, sets the Status to ‘Completed’, sets the Completion reason to ‘Solved’ (if Case Management is not enabled), scrolls down to the required Note and fills that out, adds the Time spent, and finally saves the record. Now there’s a quicker, and easier way to do this. For that, a Complete button has been added to the header bar buttons.

Complete

When a single open request, task, problem, or project task is selected in its view or the Inbox view and the user is able to edit it (some other, specific conditions apply as well), clicking on the Complete button opens the record in edit mode. For a request, for example, the Status and Completion reason are automatically set, the Notes section is collapsed and the cursor is placed in the required Note field.

Complete-assignment

The quick complete button also works when multiple assignments of the same type are selected. In that use case, the user is probably doing maintenance and is completing a number of records that are no longer relevant. It is assumed that the actual work is already done in another record, where time spent is registered. If the user clicks the Complete button, a simple pop-up form is presented right under the button where the completion reason ‘Solved’ is preselected and the focus is on the only other field: the Note field.

After adding a note, that note is added to all selected records, which are then all set to ‘Completed’. For UI extensions there is an added restriction that none of the assignments may be linked to a UI extension that has ‘Show on complete’ checked, just as with the recent feature to mass update requests.

Completed

It was already possible to complete multiple assignments, from the Actions menu. That functionality has now been removed from there. What’s new is that the feature is now also available when the selected records are not all assigned to one of your teams.
